A lot of my friends and family love to tease me because I plan all our family trips on a spreadsheet… hardly the spontaneous holiday vibe, I know!

But travelling with kids can be challenging, and I’ve found that a little planning goes a long way. With a simple spreadsheet, we can make sure every trip is filled with fun, relaxation, and as little chaos as possible.

Why I Use a Spreadsheet

Keeping all the details in one place helps me:

  • Avoid double bookings or missed dates – every accommodation, activity, and transfer in one view.

  • Balance activities and downtime – we plan a few must-do experiences but leave space for the unplanned adventures that often become the best memories.

  • Stay on budget – tracking expenses means we know where to splurge and where to save.

  • Keep the kids in the loop – knowing what’s coming next keeps them settled and happy on longer trips.

  • Save money with early planning – mapping everything out lets us see where we can get the best deals, and even squeeze in a little luxury if the budget allows.

Basically, it keeps the stress low and the fun high.

How to Build Your Spreadsheet

Here’s what I include:

  • Travel Dates: Departure and return, plus any milestones or special days during the trip.

  • Accommodation Details: Name, type, and links if needed. We mix hotels, Airbnbs, and glamping, so having it all clearly listed saves confusion.

  • Activities: Booked experiences and nearby options, with links so you can easily plan on the go.

  • Travel: Flights, transfers, car journeys — all the logistics in one place.

  • Notes: Check-in/check-out times, extra tips, or nearby points of interest.

Planning may not feel glamorous, but taking a little time to organise trips seriously really pays off. It allows us to focus on what matters most: quality family time, laughter, and creating memories that stick.
